Once we thoroughly understood Coca-Cola’s meeting objectives, we sprang into action. We immediately networked with our hotel partners and used our strong connections to maneuver into Florida’s Boca Raton Resort & Spa. Our history of successful events with them meant they were eager to help us reach our client’s objectives.
Got it: We secured well-appointed Yacht Club accommodations at a significant discount.
We were up to something great, and our client noticed.
How High?
Next, we hustled to deliver the right resources and drive further cost savings throughout the planning and implementation phase. We moved at lightning speed, coordinating with a dedicated Meeting Manager and on-site staff to untangle every meeting logistic.
We know every detail counts. So we worked directly with the head chef to design a new menu that not only met the client’s needs – it wowed the guests and their palates. We brought in our own production company to further lower costs and deliver a targeted show everyone would applaud.

The Details
Client: Pharmaceutical Company - Sales Operations

Location: Hyatt Regency Bonaventure Conference Center and Spa – Fort Lauderdale, Florida

The Challenge
This dynamic series of four events centered around the Pharmaceutical Company's new software launch. They needed to pilot, roll out, demonstrate and train employees from all over the U.S. on the new system – and they needed a place and a plan to accomplish it. They needed Axiom. We were ready to reach their multiple requirements:
Four meetings within the next six months…whew!
We had to be ready to spring into action and implement the pilot program as soon as the software was ready
Accessible destination city and same location for all events
Program consistency, including a themed “Casino Night” dinner
Time was tight, so open calendar dates were extremely limited
We anticipated that the Pharmaceutical Company would want to add National Meetings to the event – which means more meeting space and breakout rooms. We were nimble enough to make those preparations, too.
JUMP!
We evaluated the nation’s hotel resources and drew on our deep connections to find an accommodation that met their lengthy requirements for the first three sets of dates.
Got it: The relationship we built with hotel management made a difference: the hotel bought out a scheduled group to accommodate our space and time requirements. And of course all of this was negotiated at significant cost savings.
How High?
Always covering extra distance, Axiom sprinted into building a great “Ops” team around each program for seamless planning and on-site management. Team members worked closely with the third-party training company to ensure we were accomplishing all of their objectives and surpassing the Pharmaceutical Company's expectations for service, accommodations, and creativity.
Mid-air Acrobatics
Just before our big events, the selected hotel changed ownership. The transition was not smooth. Our first group faced snail-paced desk operations and check-ins. Further unacceptable resistance ranged from inexperienced department directors to boring meals to unclean rooms. Simply put, the hotel was unprepared for our first program. And we would simply not accept it. So we catapulted into action.
Jump-On-It Now Solutions
We made our expectations clear: unacceptable service must change to remarkable service. We leveraged our influential contacts within the hotel chain to improve the service level, and fast. We outlined several conditions they needed to meet in order to continue our business. Hotel management signed off on every one:
Directors from surrounding top-tier hotels within the chain trained department heads and staff members.
Vibrant new menus were created.
Additional employees, under Axiom’s supervision, were ready to assist the Pharmaceutical Company's guests.
This was a series of high-tech events, and the hotel had to be hooked up – literally. We jumpstarted the following hotel improvements:
Extra T3 lines (installed ahead of schedule)
Communication lines and updated equipment in 600 rooms, installed at a discounted rate we negotiated
One More Hurdle
When a group cancelled a full week’s program, we brokered a deal to dodge the 25 percent cancellation penalty.
- We re-booked within two months at no additional charge.

- The Challenge
The World President’s Organization (WPO) has a global reach – and a roster of 4,800-plus members with experience as chief executives of major businesses. Members are lifetime leaders, and they are committed to corporate responsibility and personal public service.
We took the organization’s mission – ‘Building Better Presidents Through Education, Idea Exchange and Networking’ – and turned it into a tangible outcome. Under our direction, the annual meeting would educate and inspire, certainly, but it would also be better. Thanks to our creative themes, special touches, seamless orchestration and ideal setting.
Got it: The selected site had to be nothing short of legendary. We quickly secured The Breakers of Palm Beach, with a strong reputation and legendary guest roster of its own.
- JUMP!
The initial step was to tap our creativity and generate a theme. First we consulted with several committees to make sure we understood all of WPO’s goals and perspectives. Soon we landed on a theme that alluded to literal and symbolic greatness, both past and present: Learning from the Legends. We had struck a winner.
- How High?
We quickly rallied a creative team that included the hotel’s wedding designer, the senior convention service manager, and the executive chef. Together we developed unique touches that stepped this event out of the ordinary:
- Original menus and décor
- Exclusive boutique showings
- Private art gallery showings
- Catered meals served in private homes, each with a different theme
- Mid-air Acrobatics:
With great people come great ideas. WPO has plenty of both. Our job was to incorporate their direction for venues, off-site activities and themes as we created an event that was on-target and within a limited budget.
As part of our creative approach, we envisioned famous quotes from historical leaders incorporated throughout the event. We took this thinking to the next level and proposed the following:
- An inspirational quote to begin each seminar
- A roundtable where participants select a historical quote and comment on its practical application to business today
- Quotes interspersed in various marketing collateral, accompanied by author photos and bios
- Eye-catching portraits of leaders and their sayings displayed in meeting rooms and venues
- Gifts sent to each attendee’s room upon arrival with inspirational quotes in the cards
- A gift library at the closing event where attendees select a biography of a historical leader to take home

Success! WPO members gained an exclusive experience that comfortably allowed them to network with their peers. Axiom exceeded WPO’s expectations in executing this high-level event, nimbly managing their budget with 25% cost savings and overseeing VIP communications.
